In business, the quantity of goods physically supplied to a customer may sometimes be different from the quantity mentioned on the invoice. TallyPrime's Actual Quantity and Billed Quantity feature helps manage this difference accurately.
For example, a business may send 10 pieces to a customer but generate a bill for only 5 pieces. The remaining quantity could be supplied as samples or promotional goods.
What is Actual Quantity?
Actual Quantity is the physical quantity of goods delivered or moved from stock.
Example:
Actual Quantity = 10 Pieces
Billed Quantity = 5 Pieces
TallyPrime records the actual movement of 10 pieces from inventory while billing is done for only 5 pieces.
How to Enable It?
Open the Sales Voucher.
Go to F1: Settings.
Enable Use Separate Actual and Billed Quantity Columns in Invoices.
Select Yes and save.
The invoice will then display separate columns for Actual Quantity and Billed Quantity.
How Does It Affect Stock?
Stock is adjusted according to the actual quantity moved.
For example:
Opening Stock: 14 Pieces
Actual Quantity: 10 Pieces
Billed Quantity: 5 Pieces
Closing Stock: 4 Pieces
This helps businesses maintain accurate inventory even when the billed quantity is different from the quantity physically supplied.
